How we handle your personal data, and the rights you have over it.

Who we are

This website is operated by J System Solutions Limited(“J System Solutions”, “we”, “us”), a company registered in England and Wales under company number 05342499, with its registered office at 10 Verley Close, Woughton on the Green, Milton Keynes, England, MK6 3ER.

We are the data controller for the personal data described in this policy.

What personal data we collect

We collect only the data we need to run our website and support our customers:

  • Contact enquiries. When you use our contact form, we collect your name, email address, the topic you select, and the message you send.
  • Release update subscriptions. If you ask to be notified about product releases, we collect your email address.
  • Support portal accounts. For customers with a support agreement, we hold your name, email address, the company you belong to, and your role within the portal. Sign-in is managed on our behalf by Supabase.
  • Support tickets. When you raise a ticket, we collect the message and any file you choose to attach.
  • Licences. When a licence is generated, we record the company, the person who generated it, and the hostnames or trial period it covers.
  • Activity and security logs. When you sign in, download a release, generate a licence, or raise a ticket, we record the event along with your IP address and browser user-agent. This protects the accounts and lets us investigate misuse.

We do not use advertising cookies, analytics trackers, or third-party marketing pixels on this site.

Why we use it, and our legal basis

Under UK GDPR we rely on the following lawful bases:

  • Contract. To provide the support portal, downloads, and licences to customers who hold a support agreement.
  • Legitimate interests. To respond to enquiries, keep accounts and downloads secure, and maintain activity and security logs. We balance this against your rights and keep the data to a minimum.
  • Consent. To send you release update emails, where you have opted in. You can withdraw this at any time (see below).

Cookies

We use a single strictly necessary cookie to keep you signed in to the support portal. It is essential to the service, so it does not require consent and there is no cookie banner. We set no advertising or analytics cookies.

Some support portal pages embed videos from YouTube using the privacy-enhanced youtube-nocookie.com domain. YouTube may still process limited technical data when a video loads. See Google’s privacy policy for details.

Who we share it with

We do not sell your personal data. We share it only with the service providers that run parts of our website on our behalf, each acting as our data processor under a data processing agreement:

  • Supabase hosts our database and manages support portal sign-in and authentication.
  • Resend delivers transactional email, such as contact form notifications, support tickets, and password reset messages.
  • GitHub hosts the product release files that gated downloads are streamed from. Your identity is not shared with GitHub.

We may also disclose data where we are required to by law, or to establish, exercise, or defend legal claims.

International transfers

Some of our providers may process data outside the UK. Where they do, we rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or adequacy regulations, so your data keeps an equivalent level of protection.

How long we keep it

  • Account and licence data is kept for as long as you hold an account with us, and for a reasonable period afterwards to meet our legal and contractual obligations.
  • Activity and security logs are kept as a business record, and the IP address and browser user-agent within them are automatically removed after 12 months.
  • Contact enquiries are kept for as long as needed to deal with your enquiry and any follow-up.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct data that is inaccurate or incomplete;
  • ask us to delete your data, where there is no overriding reason to keep it;
  • object to, or ask us to restrict, how we use your data;
  • ask us to transfer your data to another provider; and
  • withdraw consent at any time, where we rely on it.

To exercise any of these rights, email privacy@javasystemsolutions.com. We will respond within one month. To stop release update emails, use the unsubscribe option in the email or contact us.

How to complain

If you have a concern about how we handle your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority, at ico.org.uk.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date at the top of this page. Significant changes will be made clear on this page.
